NON-NEGOTIABLE ACTION ITEMS & COMMON QUESTIONS

There are many little details that go into a well prepared tax return. Let’s answer some questions you might have first. The instructions come right after these common questions. Follow the steps thoroughly for a smooth and prompt experience.

  • No. Failure to fully upload the required documents, supporting data, and info on tax relevant changes during the year in a 'review ready' state results in the cancellation of your appointment without notice. Missing K1s are the only exception and will require additional appointments. K1s are often issued in the off season. If you need extra time to gather your documents, please do so before scheduling your appointment. That helps ensure the quality and seamless service all our loyal clients deserve.

  • You can cancel the appointment yourself or we will automatically cancel it for you without notice. It is without notice to reduce extreme volume of correspondences during the tax season.

  • Clients miss document uploads occasionally. We understand it happens, and often time out of your control. You can always reschedule when you have everything ready for us to review comprehensively. Anything missing only hinders our process since it affects the final results of your return. We won’t be able to review with you if the data isn’t complete which means your appointment would have been a wasted one. To save you time, wait until you have fully uploaded all your relevant documents and supporting information before scheduling.

  • Yes. Missing K1s is the only exception. Any other types of missing documents are not allowed an appointment. If you are missing K1s, it would benefit you to find out how much income will be coming from each missing K1 for us to calculate your estimated taxes before the tax deadline. That will help you avoid additional penalties and interests when you finally file your tax return before the extension deadline in October.

  • Our team can assist you through the entire process at $325 per 15 documents and is added as a convenience fee to the final invoice. While most taxpayers file their returns each year without knowing what their CPAs or software did for them, we believe ignorance in taxes is a huge disadvantage. Here at our firm, we promote standard knowledge and understanding of your own personal tax documents while keeping them neatly organized to audit proof yourself whether you are working with us, with another firm, or by yourself. Labeling, organizing, and sorting all the documents takes a considerable amount of time on our end. By reducing some of the tasks that a taxpayer should have already done for themselves, it helps move the service along and reduces cost to our ops. We pass the savings to you and better use our time together for strategies.

To ensure you don’t run into any surprises working with us and secure the longevity of a trusted professional/client relationship, please take the time to familiarize yourself with our Terms & Conditions and Disclaimer before proceeding.

2. Complete Client Document Checklist Provided:

  • Download: any Document Checklist that pertains to you

  • Review Thoroughly: check off each relevant document

  • Save: the completed checklist(s)

  • Additional Notes: draft all relevant supporting information and attach to checklist

3. Label All Documents Before Uploading: Follow specific format provided.
*We can discover your documents along with you and label them for you upon request.

4. Upload Client Document Checklist and Tax Documents:

  • Individual Clients - Your Client Portal: For your security, the client portal we lease and maintain through Thomson Reuters is IRS Security Compliant. All relevant documents and confidential information are to be shared through your client portal only. Do not send us emails with your data. We will not use it unless we specifically requested for it to be emailed to us.

    • How to Upload: Login to your client portal > Documents Tab > List View > Add

  • Business Clients - Your PBC folder: For your security, the Google Drive PBC folder is IRS Security Compliant. All relevant documents and confidential information are to be shared through your PBC folder only. Do not send us emails with your data. We will not use it unless we specifically requested for it to be emailed to us.

    • How to Upload: Use the link provided to your PBC folder.

Accepting PDFs Only: Our licensed software provided by Thomson Reuters is only compatible with PDFs. JPEGs and MAC files don’t load well; we cannot utilize the provided tools for it.

Not Accepting “Merged” Docs: Each specific source document is to be uploaded separately. (eg. If Charles Schwab account is 60 pages, that is considered 1 document. Each employer that sends you something is its own separate document). Do not mix up different documents from different employers and platforms into one file. It makes it very difficult to locate and review specific items in question upon with review with you.

5. Spreadsheets:

  • Acceptable: Excel

  • Not Acceptable: PDFs, MAC spreadsheets .numbers and JPEGs; these types do not function for reconciliation.

6. Preview Your Documents:
Documents must be crisp, clear, with pristine edges. Follow the criteria below:

  • On a flat surface

7. GOOD TO GO?
Be sure all tasks have been thoroughly completed for prompt service.
Client accounts that are not organized and labeled as instructed incurs a file management fee of $550 and may also require rescheduling. It takes our staff an average of 60-120 minutes to fully organize and discover additional relevant info to an account before our professionals can actually begin inputting, prepare, and review a tax return.
